Privacy Policy

1. Scope and acceptance

This policy applies to the Void Valk Discord application, official Void Valk websites and dashboards, support services, and features operated by Void Valk. Discord and other third-party services have their own policies. By using Void Valk, you acknowledge this policy. If you disagree, stop using the service and remove the bot from servers you control.

2. Information we may process

Discord user information

• Discord user IDs, usernames, display names, and avatar URLs.
• Command usage, preferences, and settings needed to provide enabled features.

Server information

• Server, channel, role, category, and configuration identifiers.
• Moderation, logging, welcome, ticket, interview, access, FAQ, level, event, poll, and giveaway settings configured by authorized server administrators.

Message and ticket information

Void Valk does not routinely retain general message content. Content may be processed or stored when a specific feature requires it, for example moderation logs, anti-spam or AutoMod, ticket transcripts, FAQs, or audit records. We aim to process only what is reasonably necessary for the feature.

Website and technical information

• Dashboard sign-in/session identifiers and Discord OAuth authorization data needed to authenticate you.
• IP address or request metadata visible to the web server, error logs, diagnostics, API activity, and performance/security information.

3. Cookies and local storage

The website uses essential first-party cookies for secure Discord OAuth sign-in, short-lived OAuth state validation, and authenticated dashboard sessions. These cookies are required for the dashboard to work securely and cannot be disabled through the preference banner while you are signed in.

The site also stores your cookie preference locally so the consent banner does not need to appear on every visit. Selecting “Accept all” allows preference storage intended to improve the experience. Selecting “Essential only” keeps only the storage needed for core security and your consent choice. Void Valk does not currently use advertising cookies through this website.

You can reopen the banner at any time using “Cookie preferences” in the footer. Browser controls can also remove cookies and local storage, although clearing essential session data will sign you out.

4. Why information is used

• Operate the bot, website, dashboard, and requested Discord features.
• Save server configuration and authorized administrator changes.
• Authenticate dashboard users and verify server-management permission.
• Provide moderation, ticketing, interviews, automation, levels, events, polls, giveaways, and support.
• Diagnose failures, improve reliability, prevent misuse, and protect the service.
• Enforce the Terms of Service and meet applicable legal obligations.

5. Legal bases

Where data-protection law requires a legal basis, processing may rely on consent, performance of a service requested by a user or server administrator, legitimate interests in operating and securing Void Valk, compliance with law, and protection against abuse or security threats.

6. Retention

Information is kept only for as long as reasonably necessary for the applicable feature, server configuration, support request, security investigation, dispute, or legal obligation. Data may be deleted, anonymized, or archived when it is no longer required. Retention periods can differ by feature.

7. Sharing and disclosure

Void Valk does not sell personal data. Information may be disclosed to service providers that are reasonably necessary to run the service, such as hosting, infrastructure, database, monitoring, authentication, or payment providers. Information may also be disclosed when legally required, to investigate abuse or fraud, protect rights or security, enforce agreements, or as part of a legitimate business transfer.

8. Third-party services

Void Valk depends on third parties including Discord and hosting/infrastructure providers. Your interactions with those services may also be subject to their own privacy notices and terms. Void Valk is not responsible for independent third-party privacy practices.

9. Security

Reasonable administrative and technical measures are used to reduce risks such as unauthorized access, disclosure, modification, loss, or misuse. No internet service or storage system can guarantee absolute security.

10. Your rights and deletion requests

Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or obtain certain personal data, and to withdraw consent where consent is the legal basis. Identity verification may be required before a request is completed. Eligible deletion requests can be submitted through Void Valk support or the contact details below.

11. Children and Discord eligibility

Void Valk is not intended for people who are below the minimum age legally permitted to use Discord in their jurisdiction. If prohibited personal information is discovered, reasonable steps may be taken to remove it.

12. International processing

Void Valk and its service providers may process information in countries other than your own. Where applicable, reasonable safeguards are used for international transfers as required by law.

13. Automated systems

Features may automatically detect spam or harmful activity, apply configured moderation rules, generate automated responses, or perform server administration actions. Automated systems can make mistakes; server administrators remain responsible for reviewing and configuring how these tools are used.

14. Premium services

If paid features are offered, full payment-card details are generally handled by third-party payment processors rather than stored by Void Valk. Those providers apply their own financial-data terms and security controls.

15. Policy updates

This policy may be updated as the service, law, or operational practices change. The updated date at the top of this page shows the latest revision. Continued use after an update is subject to the revised policy to the extent permitted by law.
